Welcome back and thank you for joining us again for the county of Project plus P k +0004
This is your instructor, Roberto Hilario.
Now we're starting module three communications management.
In this lesson, we are going to learn the importance of our communication and how this place on a very significant role in the management of a project.
So we are going to learn the importance of managing communications, the elements off the communication process, types and styles off communication
in factors that affect good. Come you, Niki.
So what is communication plan?
It's strategies used to provide a smooth flow of information. Two team members as well a stakeholders.
The idea of communications is first.
I don't to find the peoples on groups that need to receive information at the beginning, through the execution and at the end of a project, what kind off information will they need? And what level of detail will they need,
how frequently the information will be distributed
and how this information will be distributed. So communication planning addresses the key topics when we are working with the different types off stakeholders that our project will have
simply put communication is three components the sender, the message and the receiver.
But there are other additional components that we need to look at. For example, the encoding.
distribute or express the message,
the channel that is being used to transmit or communicate the message that the coding part in where the receiver takes the message and transforms into the the
the information that they are receiving and the theme back
that is provided back to the center, acknowledging
or challenging the message
in all this, we have noise, noise. We will look into it in a bit. Noise effects,
the center, the encoding, the decoding
the channel. So noise is something that we have to deal with as well.
So let's look at different types off communications, Generally speaking, variable and nonverbal
verbal communication could be they're written
or he could be spoken.
It could be our words, as we say them, or it could be as we write an email or a letter or any type of verbal sort of mechanism. Now nonverbal communications
every percent that us either emotions or body language. You can show interest or boredom. By the way that you see,
you can show displeasure or acceptance to a message by the when you react
to the message.
Also, we have to consider the communication lines. How many channels will there be? Depends on the number of parties involved. There's a simple formula. The formula states that the number of members
multiply that by that number minus one and then divide by two. So in our example here we have five members that will be engaged. So five times five minus 14 So times
45 times forgives us training, then divide that by two gives us
10 communication lines.
So if we have 10 team members or 10 stakeholders,
how many communication lines will there be?
10 minus one is nine.
10 times nine is 90
divided by 2 45 lines off communication.
Also, communication needs to be both effective and efficient,
effective that it communicates the right amount. The right though such off message the fishing that is done in a timely fashion that is not too late. That is not too early. That is not affecting other decisions.
So there's always a um
if we work too impaired efficiency
is about the impact of the message. Where's effectiveness is about how,
um, the amount of time it takes to communicate.
Let's compare. Now ridden versus verbal communication,
they both are governed by rules.
They will have symbols, and they both convey meanings. Now
is a synchronous, and he's recording
because once you right, that's the message. Any remains.
Now verbal communication
is informal or castle is synchronous,
and he's not recorded
in germs off
how you can recall details with the exactitude that unique
meanings are the most common types off communication engagements that we will face. Meetings could be for different reasons and purposes that could be motivational or encouragement. They could be decision making meetings. They could be informational, or they could be for brainstorming and creating different solutions.
Meetings with technology means have evolved,
and we have face to face meetings when everyone is on the same site. But we also have video conferences when people are dispersed across the geography,
as well as for meetings when people could be different locations or while commuting, although not recommended that you talk on the phone and drive. But they could also take place like that.
Face the face of the your conferences, meetings I'll have an advantage over full meetings and the fact that you can get the visual cues off people who are engaged and their attention in there accepting or rejecting to your message is very important.
Um, and doesn't. This is somewhat crucial to making your message more effective and more efficient.
Now let's talk about noise. Noise is unavoidable.
They are influences that affect the reception or perception off the message. There are different types of noise
could be psychological, which is biased or assumptions that our receivers may have or the sender's may have. It could be environmental to be the context. Are you in the right location to receive the message, or do you have other people around you that you don't want them to over here?
What message were engagement
you are on
or could be semantic, for example, language or cultural differences?
dealing with different countries of different nations. You will realize that the meanings of the words, the appropriateness off the usage off certain terms varies, and you have to learn how each of these interact and accommodate accordingly.
All the challenges are geographic, your graphical cultural language, technology and personal
geography deals with time zones.
A meeting between someone that that is in the United States is coast versus someone who is in the West Coast. There's gonna be a three hour offset. This could be challenging, especially in the early morning for the person who is on the East Coast or the late afternoon who is
for someone that is on the West Coast.
Ah, cultural difference as we have mentioned that the the use off certain modalities for communication
such a regionals, or or forms that different cultures may have when it comes to holding meetings in terms off, nodding or or accepting or acknowledging the receiving of the message land, which is also a barrier because not being able to communicate
the message correctly
can carry consequences. So just misinterpretations
technologies another challenge in the sense that it could be a person that is not technology savvy and because of this will not be able to make the most out of the relationship out of the communication itself.
And finally, personal. These deals with personal um, what they favor or are in favor all for or against in terms off communicating. There's those that prefer face to face meetings and not Israeli formal in the sense off
written but in the sense off face to face, to get the visual cues
So this is the end off
our lesson. What have we learned today? The importance of managing communications
elements are the communication process,
the different types and south of communications, and finally, factors or challenges that affect good communications.
Thank you for joining and looking forward to seeing you in our next listen.
