Exercise 1 - Using Document Tracking

When you make a lot of revisions to a document, especially one you're collaborating on with others, it can be hard to keep track of versions, and even harder to easily discuss or review changes made. You can use comments and tracking to do these things right inside a Word document, and even combine changes and comments made by multiple users to address them all at once.

You will learn how to:

  • Track document changes
  • Change markup display settings
  • Review changes and comments

Combine or compare different versions of a document If you want to keep track of changes made to a document, or give yourself or another user a chance to review them before making them permanent, you can use Word's Track Changes feature. Commands for tracking changes are on the Review tab, in the Tracking group.

When tracking is enabled, any change made to the document is recorded, and the original content as well as the changes are preserved. If multiple users make changes to the same document, each user's changes are marked in a different color. Word can even distinguish between content moved using cut and paste commands, and content moved simply by typing or deleting it. By default, new text is underlined, while deleted text is struck through. Tracked changes formatted in this way, as well as document comments, are collectively called markup.

Exercise 2 - Viewing Markup

When tracking is enabled, Word automatically records all changes you make. However, you can easily change how tracked changes are actually displayed in the document.

To view the document without markup, use the Display for Review list.

  • To see the original document without markup, click Original.
  • To see the final document without markup, click No Markup.
  • To see the document with all markup, choose All Markup.
  • To see partial markup with less clutter, choose Simple Markup.

Exercise 3 - Reviewing Changes

To complete this exercise, you need to have completed the previous exercise, using document tracking. You'll combine your tracked document with another created by a co-worker, and then review changes in the combined document.
